Responsibilities

SUMMARY: Ensures a fluid work environment within the office of the Director by performing administrative/clerical and office management duties. Uses initiative and good judgment; works independently with little supervision and maintains strict confidentiality.

*Experience assisting with domestic and/or international real estate and commercial transactions highly desired.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

Provides administrative for the Director, including electronic filing, copying, scheduling appointments and organizing meetings. Drafts, reviews and prioritizes correspondence for handling or response.

Screens incoming calls and emails, and takes appropriate actions by directing the call to the appropriate party. Maintains Director and Attorneys’ calendars, makes all necessary arrangements for appointments and travel meetings.

Develops and maintains reports, databases and files as appropriate.

Prepares expense reports.

Using appropriate computer programs to create, analyze, compile, update and maintain department contracts, correspondence and/or reports. Incorporating data/contracts/information into and retrieving data/contracts/information from such systems. Disseminating confidential data/information to the appropriate parties as requested by attorneys. Perform all duties while maintaining a high degree of confidentiality, discretion, diplomacy and respect.

Perform other duties as assigned.

Understand and actively participate in Environmental, Health & Safety responsibilities by following established UO policy, procedures, training and team member involvement activities.

SCOPE: Job is to ensure the smooth operation of the Legal Department, answering and prioritizing phone calls and correspondence; ensuring the attorneys stay on schedule. Job requires a high degree of tact and confidentiality; often corresponds with guests and executives throughout the company.

Qualifications/Requirements

QUALIFICATIONS:

To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. LANGUAGE SKILLS: Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write reports, business correspondence, and procedure manuals. Ability to effectively present information to management and executives.

MATHEMATICAL SKILLS: Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to perform these operations using units of American money and weight measurement, volume, and distance. Ability to compute rate, ratio, and percent and to draw and interpret bar graphs. Ability to compute rate, ratio, and percent and to draw and interpret spread sheets.

REASONING ABILITY: Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form. Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists.

OTHER SKILLS AND ABILITIES: Must be able to type 50 wpm. Three years computer experience required. Must be proficient in MS Word and MS Outlook.

EDUCATION: High school degree or GED is required. Bachelor’s degree in related field is preferred.

Experience assisting with domestic and international real estate and commercial transactions, including land use and real estate development matters, complex real estate and commercial agreements, compliance requirements, contractual obligations and dispute resolution preferred.

EXPERIENCE: 3-5 Years experience as a Legal Assistant with a law firm or corporate/government legal department preferred; or equivalent combination of education and experience.

ON-THE-JOB TRAINING: Three days learning company policies and procedures.
