Responsibilities

Essential Responsibilities:

  • Provide administrative support to the VP, Head of Marketing & Advertising, Business & Legal Affairs, as well as departmental coordination

  • Handle heavy telephone contact with all levels of internal and external executive management and employees

  • Arrange and maintain daily schedule / organize meetings (including arranging for visitors, preparing agendas, communicating/following up with attendees)

  • Managing calendars and contacts

  • Prepare various correspondences, draft memos presentations and other documents.

  • Prepare expense reports

  • Prepare files and utilize the online file sharing system for accessing, storing and archiving legal documents, correspondence and related materials

  • Ship packages, sort mail, copy & fax, create binders

  • Book business travel arrangements

  • Track and report on CLE courses and credits

  • Order and maintain subscriptions and office supplies

  • Arrange for office equipment repair and maintenance

  • Route contracts for review, approval and signature

  • Work with the Accounting department to get legal vendors set up in Accounts Payable and assist with processing of invoices

  • Various projects as assigned

Qualifications/Requirements

Basic Qualifications:

  • A Bachelor’s degree and a minimum of 2 years of past experience as an Administrative Assistant

  • Exceptional communication skills with experience on a high volume desk, answering phones, scheduling and organizing meetings in multiple time zones

  • Superior organizational and time management skills and a keen attention to detail are critical

  • Must be highly proficient in Microsoft Office (Word, PowerPoint, Excel), Outlook and ability work with other legal an non-legal software and systems, as required

  • Superior interpersonal skills and a pleasant, positive demeanor

  • You are accustomed to dealing with all levels of management

  • Ability to effectively multi-task, prioritize and problem solve in a fast paced environment are critical

  • High attention to detail, organized and able to meet tight deadlines

  • You are self-starter, able to work independently and seek out answers & resources on your own
