Role Summary:

Assistant to VP of Still Department

The Administrative Assistant supporting the VP Still Department is primarily responsible to assist this executive with both administrative support and organization of photographic assets. The individual may also provide support to Senior Photo Editor and department Manager. Candidate must be an enthusiastic team player, detail oriented self-starter with exceptional follow through skills and ability to multi-task under pressure.

Essential Responsibilities:

  • Answering phones, distributing mail, keeping schedules, filing, maintaining supply cabinet

  • Create and maintain cast/crew, contact and information documents for all film titles

  • Write up photo orders, file proofs and catalogue talent approvals

  • Assist with sending and receiving photographer hard drives for 5-10 films to and from locations worldwide

  • Assist with administrative oversight of on-line talent approvals

  • Work with internal Digital Asset Management system

  • Embed digital files via PhotoShop with caption information for press requests and track usage of images

  • Watermark images via PhotoShop for reference

  • Use Adobe Acrobat to create PDF reference sheets

  • Assist with organizing print files, creating ID sheets and help with archiving assets

  • Maintain event photographer list and manage RSVP’s for events

  • Work with photographers at events

  • Liaise with company-wide departments to facilitate and assist with fulfilling requests


Basic Qualifications:

  • Minimum 2 years relevant administrative experience in the entertainment industry, public relations, marketing or related field.

  • Past experience with management of photographic assets in studio still department, Production Company, advertising agency, photographic lab or editorial capacity

  • Strong computer skills with proficiency in Microsoft based software including Word, Outlook and Excel.

  • Working knowledge of Adobe based software including PhotoShop, Lightroom or AcrobatEligibility Requirements:

  • Must possess excellent interpersonal and written communications skills

  • Capable of building and maintaining strong working relationships both internally and with outside vendors and agencies

  • Working knowledge of FPT site image transmission a plus
