Essential Responsibilities:

  • Supports the Executive Vice President, Global Communication, Universal Filmed Entertainment and West Coast Corporate Affairs, NBCUniversal who oversees all internal and external communications for Universal’s film division and NBCU West Coast Corporate Affairs.

  • Serve as the initial point of contact for both departments internally and externally on behalf of the EVP.

  • Coordinates and schedules meetings and presentations (using MS Outlook calendaring system) including sending attendee invitations, handling logistical details (directions, parking, travel itineraries, ordering meals and/or equipment), gathering and preparing necessary presentation materials). Uses initiative to schedule appointments and meetings based on personal knowledge of workload and priorities.

  • Screen telephone calls, visitors, letters, and answer routine questions. Use judgment to handle inquiries from vendors, candidates, and employees to resolve concerns/issues, as necessary.

  • Provide support to the EVP in the areas of travel, scheduling and daily needs such as implementing phone calls, conference calls and engagements

  • Must have excellent verbal and written communication skills. Able to research, compose, proofread and edit correspondence and other written work

  • Prepare Travel & Expense Reports and ensures all T&Es are submitted on time and reimbursements made.

  • Responsible for administrative duties including SAP-related accounting and office management (filing, ordering department supplies, expenses, etc.)

  • Able to establish and maintain good working relationships with individuals internally and externally; diplomacy is a must.

  • Interface with other divisions of the company to ensure that all requests are being met and inform the EVP of any potential challenges.

  • Assist in multiple capacities with special projects such as premieres, community initiatives, employee activities and special events.

  • Proactive in keeping abreast of industry developments and company news to keep EVP apprised of all breaking news and monitor for relevant coverage throughout the day.

  • Perform other related duties to support the team as requested by management.

  • Handle confidential information with discretion.

  • Must be able to work at a fast pace while managing multiple tasks and maintaining a professional attitude.

  • Excellent decision-making capabilities and ability to be flexible in work environment.

  • Make recommendations about tasks and execute them with minimal direction.

  • Self-starter with high energy who is able to initiate projects and see them through to completion.

Basic Qualifications:

  • College degree required.

  • A minimum of one year office or reception experience. Internships or agency experience a plus.

  • Proficiency in Microsoft Word, Excel, Outlook, and other applications.

  • Fundamental understanding of news outlets covering the entertainment industry.

  • Ability to multitask while handling significant incoming calls and requests.

  • Ability to cultivate relationships with key staff.

  • Understanding of and interest in all relevant social media platforms.Eligibility Requirements:
